Administrative Assistant

The Delaware Alliance for Nonprofit Advancement (DANA) is seeking a full-time salaried Administrative Assistant to help support DANA’s mission of strengthening, enhancing, and advancing the nonprofit sector.

100 W. 10th Street, Suite 1012, Wilmington, DE 19801 (free parking included)

Reports To:
President & Chief Executive Officer

Duties and Responsibilities (Including, but not limited to):

• Conduct basic clerical duties, including:

o Answering telephone
o Greeting visitors to DANA office
o Filing (both paper and electronic on our shared drive)
o Bank deposits
o Check mailing
o Invoicing
o Bookkeeper support

• Manage all DANA office-related vendors, including:

o Qnectus
o Crystal Springs
o Office Basics
o Comcast
o Ricoh

• Be the primary point-of-contact for DANA’s nonprofit members via:

o Phone (inbound/outbound)
o Walk-In
o Email

• Manage annual membership invoicing process, including:

o Initial mailing
o Follow-up emails and phone calls
o Internal reporting

• Manage all other ‘non-membership’ invoices

o Training
o Consulting
o Store purchases

• Support Annual Conference & Winter Member Reception by managing the following:

o Venue
o Food/Drink
o All other logistics

• Support training & consulting by managing the following:

o Food/Drink/Logistics
o Registration assistance
o Outbound “sales” calls

• Support CEO with DANA Board of Director interactions

o Secondary point-of-contact for board members
o Preparation for quarterly board meetings (board package)

• Manage DANA master calendar

• Membership Database

o Secondary internal owner

• Other duties as assigned

Education & Experience:

• Associate’s degree or higher
• Proven track record for successfully completing projects and tasks

Required Skills, Knowledge, and Abilities:

• Quality written and oral communication skills
• Strong interpersonal/relationship development skills
• Ability to manage time and multiple projects with competing priorities
• Enthusiastically detail oriented
• Must be organized and task-oriented
• Knowledgeable with data use and management
• Proficient in Microsoft Office (Word, Excel, and PowerPoint) and Adobe Acrobat

Physical Demands:

• Required to sit for long periods of time
• Infrequent light physical effort required (up to 25 pounds)

Work Environment:

• Primarily Monday through Friday 9am-5pm work week with occasional hours outside of this
• Work performed in an office environment
• Occasional local travel and work outside of office
